Privacy Policy for MYTaskOrganizer

1. Information We Collect

• Personal Data: Email address (used for creating an account, authentication, password reset, and identifying user-specific tasks and categories).
• Login Data: Users can log in using either an email/password combination or via Gmail/Outlook auto-login. When using auto-login, the app retrieves your email address to create an account without requiring a password.

We do not collect device data, cookies, or any additional personal information.

2. How We Use Your Information

• Identify and authenticate users
• Send confirmation and password reset emails
• Retrieve and manage tasks and categories unique to each user

3. Data Storage

• Hosting: Microsoft Azure
• Password Encryption: User passwords are encrypted using ASP.NET Identity.

Other data, including tasks and categories, is stored without encryption but is managed through secure access protocols to prevent unauthorized access.

4. Third-Party Services

• Gmail and Outlook Auto-login: Used solely for authenticating users and retrieving their email address to create or access an account.
• Google Gemini (via Vertex AI API): Used to process user messages and voice recordings to extract tasks and suggest categories.

Only non-identifiable data (e.g., user messages, voice input, and category names) is shared with Gemini. No personal information such as email addresses is shared.

5. User Permissions

• No special permissions are required on the desktop version.
• On mobile devices, microphone access is requested to enable the voice command feature.
• Users can enable or disable the “Run with Startup” option.

6. Features That Use External AI (Google Gemini)

Task Creation via Chat Assistant (Desktop & Mobile):

• Messages are sent to Google Gemini along with the user’s category names to extract tasks.
• Shared: Messages and category names.
• Not Shared: Any personally identifiable information (e.g., email).

Task Creation via Voice Command (Mobile Only):

• Voice messages (up to 20 seconds) are sent to Gemini with category names.
• Shared: Audio recordings and category names.
• Not Shared: Any email or personal user data.
• Note: The voice file is not saved or archived after processing

7. Category Management

Users can:

• Add new categories
• Rename existing categories
• Delete categories (only if empty)

8. Data Sharing

We only share limited, non-personal data with Google Gemini for intelligent task extraction:

• Chat messages
• Voice recordings (mobile only)
• User’s existing category names

We do not share personally identifiable information or any other data with external parties beyond Azure and Gemini integrations.

9. User Rights

• Task Management: Create, edit, and delete tasks.
• Category Management: Create, rename, and delete categories (if empty).
• Account Deletion: You have the right to request the deletion of your account and all associated personal data. To initiate this process, please send an email to our support team at support@mytaskorganizer.com. We will process your request in accordance with applicable laws.

10. Security Measures

• Password Encryption: All passwords are encrypted using ASP.NET Identity.
• Secure Cloud Storage: Data is securely stored on Microsoft Azure.

Note: Two-factor authentication is not currently supported.

11. Changes to This Privacy Policy

We may update this Privacy Policy periodically. Any changes will be posted within the app. We encourage you to review this policy regularly.
